Securing 75% Improvement in Process Efficiency for a Global Fashion eCommerce Company With End-to-end eCommerce Support

Client Overview

A Multi-Channel Fashion Giant Operating Across 10+ Global Markets

Our client is an online fashion retailer with a catalog spanning more than 2.5 million SKUs—including handbags, footwear, clothing, and accessories. They operate across more than ten countries and manage multiple eCommerce channels simultaneously. Their Amazon presence alone spans ten active seller accounts, positioning them among the top multi-channel fashion sellers in their category.

Key Requirements

High-Volume Output, Low Error Thresholds, and Transparent Operations

  • Dedicated FTE Support for Amazon Description Writing

The client’s initial requirement was a team of dedicated full-time resources to handle Amazon product description writing at scale. The daily output target was 600 descriptions, each produced in accordance with strict internal style guidelines and delivered within a defined hourly pace—five units per resource per hour.

  • Strict Accuracy, Compliance, and Reporting Standards

The engagement began with clearly defined performance standards. The client expected the error rate to remain within 1%, alongside full compliance with their content guidelines and reliable on-time delivery. They also required complete operational visibility through daily time-tracking reports for each resource and regular quality updates covering both accuracy and productivity.

  • Expansion into Broader eCommerce Operations Support

As the engagement expanded, these same standards were extended to a broader scope of tasks, including:

    • Product image review
    • Catalog management
    • New listing creation
    • Vendor and supplier ticket management
    • Performance reporting using data visualization tools

Project Challenges

Scaling Content Output Under Strict Accuracy and Security Requirements

  • High Daily Output Expectations: Delivering 600 product descriptions per day while holding error rates below 1% was a substantial content challenge. What made this engagement operationally complex was the layered set of constraints it imposed simultaneously, such as strict data security requirements, rapid team assembly, guideline compliance, and measurable productivity—all from day one.
  • Hardware-Based Access Requirements: The client’s internal systems—including their proprietary product database, content management tools, and communications stack— required hardware-secured access. Distributing the necessary YubiKey tokens to a team assembled in a separate geography introduced a ten-day delay before full security compliance could be implemented. Data4eCom had to begin work under a temporary access framework during this window, ensuring that the client’s IP and operational data remained fully protected while the hardware was in transit.
  • Fast Team Deployment: A 16-person content team had to be assembled, onboarded, and trained within two days to a standard that allowed them to produce client-ready output from the first week. Reaching the output level without inflating the error rate required both rigorous QA and a tightly structured daily workflow from the start.

Our Approach

A Structured Delivery Model for Accuracy, Security, and Scale

Phase I - Launching a Secure, High-Volume Content Team

Building the Initial Content Team

Data4eCom assigned 16 eCommerce copywriters to support Amazon product description writing at the required scale. The team worked within the client’s internal environment and used the client’s product database to prepare and upload descriptions against the daily output target.

Training on Client Standards

The team completed two days of focused training on the client’s writing guidelines, semantic rules, approved wording, handbooks, and hourly productivity expectations. This established a consistent quality baseline before the first full delivery cycle.

Implementing Secure Access Controls

As YubiKey deployment required time, the engagement began under a temporary access protocol. Once the tokens arrived and were distributed, the team moved into the client’s required hardware-secured access model without disrupting delivery.

Enforcing QA and Productivity Controls

Execution was supported by a strict quality review. Each resource was assigned a daily target of 40 units. Output was reviewed twice a day by an internal QA specialist, while the project manager conducted daily checks on submitted work.

Maintaining Reporting Visibility

To ensure operational transparency, time was tracked through both ETMS and Clockify. The client received daily resource-level time reports, along with two weekly reports covering time utilization and output quality.

Phase II - Expanding into Broader eCommerce Operations

Once the product description workflow was streamlined within the first month, the client extended the engagement into additional operational areas.

  • Product Image Review and Upload: The team reviewed supplier-submitted images, modified them as required, and updated them on the client’s platform.
  • Catalog Management: Support was expanded to product data organization, product information updates, SKU merges and splits, deletion of obsolete data, and category and attribute updates.
  • New Listing Creation: A separate team was set up to create new listings for the client’s website and manage subsequent listing updates.
  • Vendor and Supplier Support: The team handled supplier and brand tickets, reviewed product-change requests, followed up on missing details, and updated product data on the client’s platform.
  • Data Reporting and Visualization: Data4eCom also supported reporting and visualization work, helping the client track inventory movement, sales differences, and product performance trends.

Platforms and Tools Used

A defined set of tools supported the delivery model, ensuring secure environment access, internal coordination, supplier ticket management, reporting, and time tracking. This enabled the team to manage execution in line with the client’s security, productivity, and reporting requirements.
