Multi-Store Shopify Retailer Specializing in High-End Home Decor

The client operates three eCommerce websites (built on Shopify) for selling luxury home furnishings and decor. Their catalog consists of handcrafted furniture, but it also extends to statement lighting, area rugs, and decorative accessories—all positioned for luxury residential and interior design markets. Each storefront carries a curated selection of products from recognized brands, targeting buyers who prioritize craftsmanship and design exclusivity.

Project Scope

Shopify Store Management—Product Listing, Orders, Inventory, and Billing

The engagement began in 2022 with the task of uploading products to the client's Shopify stores. Following satisfactory delivery, the client expanded the scope of the project to cover full back-office Shopify store management across four key areas:

  • Product listing and catalog uploads
  • Inventory tracking and updates
  • Order processing and shipment tracking
  • Vendor invoice review and reconciliation

Addressing Inefficiencies in Back-Office Processes Limiting the Client's Growth Potential on Shopify

  • Fully manual back-office operations: The client managed multiple sales channels without any inventory synchronization. Order processing, shipment tracking, and stock updates were all handled manually, with no automation or multi-channel management tooling in place.
  • Vendor billing discrepancies causing revenue loss: Invoices from manufacturers and dropshippers regularly contained errors, such as unauthorized express delivery charges, incorrect quantities, unexplained fees, and unapproved line items. All these errors were resulting in direct financial losses.
  • Order fulfilment delays: Queuing urgent orders for next-day execution introduced unacceptable friction into the client's fulfillment cycle. To mitigate this inefficiency and prevent compounding backlogs, the client required an immediate transition to proactive order management. This demanded coordinated, multi-shift coverage to intercept and process time-sensitive orders dynamically throughout their core operational hours.
  • Absence of platform-specific Shopify expertise: The client’s internal team lacked Shopify expertise to scale their operations effectively. The project required a team already proficient in Shopify as the client had no bandwidth to onboard new resources or train their existing team.

Our Approach

A team of 10 Shopify specialists was assigned exclusively to this project. Our team served as an operational extension of their in-house staff.

We provided support across five service areas:

Product Data Entry/Bulk Uploads

The client provided a spreadsheet with product details, including titles, pricing, HTML descriptions, images, variations, tags, meta fields, and product type. For records with data gaps, the team performed product data enrichment, sourcing missing attributes from manufacturer websites and other product references before proceeding. Once complete, all data was compiled into a master product database and bulk-uploaded to the Shopify storefront via Matrixify.

Listing Optimization

To improve listing performance, we offered product description writing services. Our team created compelling and accurate product copies, aligning with the client's luxury positioning. We reviewed titles, bullet points, and descriptions for appropriate keyword coverage and edited product images (background removal, color correction, and brightness adjustments) to meet the visual standards expected for Shopify product listings.

Inventory Management

Since the client lacked real-time inventory synchronization, we used vendor inventory reports to update stock levels manually. We regularly received stock reports directly from the client's vendors. Each report was cross-referenced against the current Shopify catalog to update stock levels for every brand and product. Our team formatted inventory data in the Matrixify template and uploaded it to the platform. Discontinued items were identified in each vendor report and promptly removed from the storefront, ensuring only purchasable products remained visible to customers.

Order Processing & Shipment Tracking

Orders were received by email and through the client’s portal. As a part of order processing services, we validated stock, checked order details, recorded each order in a master Google spreadsheet, and processed it in Shopify. We also managed backorders separately by confirming ETA and estimated ship dates, updating order status, and notifying customers proactively.

For shipment tracking, we used the Metropolitan Portal and updated the client's Shopify platform with tracking progress. Where tracking information could not be located, the team would contact the relevant vendor directly.

Invoice and Billing Reconciliation

All invoices from the client's manufacturers, vendors, and drop shippers were reviewed against original purchase records. Common discrepancies identified included express shipping charges not agreed upon, incorrect item quantities, additional fees without a corresponding order, and unexplained line items. Each discrepancy was documented, compiled into a reconciliation report, and submitted to the client for resolution with the relevant supplier.
